At River Pointe Camp, we are committed to maintaining the trust and privacy of our campers, staff, volunteers, and families. The "Confidentiality Policy" ensures that personal, medical, and sensitive information is handled with care and discretion. This policy outlines the procedures for safeguarding confidential information and the responsibilities of all camp personnel in protecting the privacy of individuals associated with the camp.

 

Purpose

The purpose of this policy is to protect the personal and sensitive information of campers, staff, and volunteers. It ensures that all individuals at River Pointe Camp can feel safe in knowing their information is treated with the utmost respect and confidentiality. The policy also establishes guidelines for handling and disclosing information in compliance with legal requirements and camp standards.

 

Types of Confidential Information

1. Personal Information:

   - This includes any information that identifies a camper, staff member, or volunteer, such as names, addresses, phone numbers, email addresses, and emergency contact information.

   

2. Medical Information:

   - This includes health forms, medical history, prescription medications, allergies, and any medical conditions that are disclosed to camp personnel for the safety and care of the individual.

 

3. Behavioral and Incident Reports:

   - Information related to camper behavior, disciplinary actions, or incidents that occur during camp sessions, including conflict resolution, will be treated as confidential and shared only with relevant parties (e.g., camp leadership, parents/guardians).

 

4. Staff and Volunteer Information:

   - Employment and volunteer records, background checks, performance evaluations, and any other personal or sensitive information related to staff and volunteers.

 

5. Family Information:

   - Any sensitive information disclosed by families or guardians about the home environment, family situation, or specific concerns regarding the camper.

 

Responsibilities of Camp Personnel

1. Staff, Volunteers, and Leadership:

   - All camp personnel, including counselors, staff members, and volunteers, are required to respect the privacy of campers, staff, and volunteers. They must maintain confidentiality when handling personal, medical, or sensitive information.

   - Confidential information should only be shared with those who have a legitimate need to know, such as camp leadership, medical staff, or the camper's parents/guardians. 

 

2. Medical Staff:

   - The camp nurse or medical personnel are responsible for safeguarding all medical records and information. This includes keeping medical files secure and sharing relevant information only with staff members responsible for the care and supervision of the camper.

 

3. Leadership Team:

   - The camp director and leadership team are responsible for ensuring that all confidential information is handled in accordance with this policy and applicable laws. They must ensure that staff and volunteers understand their role in maintaining confidentiality.

 

Handling and Storing Confidential Information

1. Secure Storage:

   - All personal, medical, and behavioral records must be securely stored in locked files or password-protected databases. Only authorized personnel will have access to these files.

   - Medical records, health forms, and incident reports will be stored in the Nurses Station or camp office, and access will be limited to camp leadership, medical staff, and authorized counselors.

 

2. Limited Access:

   - Confidential information should only be accessed by individuals who need the information to perform their duties. For example, medical information will only be shared with staff responsible for a camper’s health care, and behavior reports will only be shared with relevant counselors and leadership.

 

3. Communication of Confidential Information:

   - When communicating confidential information (e.g., a medical condition or a behavioral concern), staff members must do so in a private setting where the conversation cannot be overheard.

   - Emails or written communications containing sensitive information must be sent securely and only to the appropriate recipient(s).

     - When required by law enforcement or court orders.

 

2. Parental Access to Information:

   - Parents or legal guardians have the right to access their child’s personal and medical information. However, behavioral or incident reports may be shared on a need-to-know basis, and only by camp leadership.

   

3. Mandatory Reporting:
